Primary Function:
The Tower Communications Project Coordinator supports the Program Manager, PMO, and field teams in planning, coordinating, and executing communications tower projects. This role ensures projects are delivered on time, within budget, and in compliance with Department of Defense (DoD) and contract requirements. The coordinator manages documentation, logistics, security clearances, and communication across departments, subcontractors, and clients.
Essential Responsibilities:
Project Coordination & Support
- Assist Program Managers and Directors with daily administration and milestone tracking
- Prepare project schedules, reports, and documentation for internal and customer reviews
- Monitor deliverables for contract compliance and quality standards
Travel & Logistics
- Coordinate domestic and international travel for field crews, including flights, lodging, and transportation
- Handle emergency travel needs and deployment readiness
- Track travel costs for proposals and budgets
Security & Compliance
- Collaborate with the Facility Security Officer (FSO) to manage clearance documentation
- Ensure personnel meet security requirements before deployment
- Maintain confidentiality and DoD compliance
Documentation & Reporting
- Format and submit Contract Data Requirements List (CDRL) deliverables using MS Word, Excel, and Adobe PDF
- Keep records of inspections, maintenance, and project updates
- Prepare crew briefs in coordination with Project Managers
Cross Departmental Coordination
- Work with HR and Finance to generate Personnel Assignment Notices (PANs) and update staffing records
- Support proposal development with travel pricing, labor estimates, and activity breakdowns
- Serve as communication liaison between teams, subcontractors, and clients
Process Development & Problem-Solving
- Draft and maintain SOPs and work instructions
- Identify and resolve scheduling, logistics, or deliverable issues
- Promote continuous improvement in administrative and operational processes
Administrative Support
- Perform data entry, document control, and reporting across project systems
- Maintain organized files for audits and compliance
- Schedule meetings, record minutes, and distribute action items
Work Conditions:
- Primarily office-based with occasional travel or on-site support
- Must be available outside normal business hours to support OCONUS projects
Job Requirements:
Minimum Requirements:
- Ability to obtain and maintain a government security clearance
- Proficiency in MS Office Suite and Adobe PDF
- Strong organizational and time management skills
- Ability to manage multiple priorities and meet changing deadlines
- Excellent written and verbal communication
- Self-starter with problem-solving skills
- Flexibility for extended or irregular hours
Preferred Skills:
- Bachelor’s degree in Business Administration, Project Management, or related field
- 2–4 years’ experience in construction or telecom project support, preferably with DoD or federal contracts
- 3–5 years administrative or coordination experience
- Experience with international or government-related travel
- Familiarity with DoD contracting and documentation standards
